Get to inbox zero with AI every morning

A 10-minute routine that clears the noise for good — and one rule that keeps it from backfiring.

Email is not hard. Email is voluminous. Of the fifty things in your inbox this morning, maybe six need your brain. The entire trick is getting a machine to find those six and pre-chew the rest — every morning, in the time it takes to drink half a coffee.

Minute 1–2: The triage pass

Run your unread email through one prompt with three buckets: needs a reply from me, needs a decision but no reply, and noise. Most AI-enabled mail tools can do this natively now; if yours cannot, paste subjects and senders into your AI assistant and ask for the sort. Archive the noise bucket without opening it. That is usually 70% of the inbox gone in two minutes.

Minute 3–5: Summaries of the long stuff

Every thread over five messages and every email over three paragraphs gets summarized to bullet points, with one line at the top: what they want from you. You read conclusions, not correspondence. Newsletters you actually value go into a single weekly digest instead of daily drips.

Minute 6–9: Draft the replies

For the needs-a-reply bucket, have AI draft responses in your voice — short, direct, matching how you actually write (feed it three of your sent emails once, and save that as your style note). You review each draft, edit the ones where it missed nuance, and send. Six replies in four minutes, and none of them sound like a form letter.

Minute 10: The decision list

The middle bucket — decisions with no reply needed — becomes a three-line list on your task board. Inbox: empty. Brain: pointed at real work before 9 a.m.

The one rule: nothing auto-sends

Every step above drafts, sorts, or summarizes. Nothing goes out without your eyes on it. The day you let AI auto-reply is the day it cheerfully confirms a meeting you cannot attend or waives a fee you did not mean to waive. The ten minutes is the price of staying the editor. Pay it.

Run this for a week and the compound effect shows up fast: no 4 p.m. email guilt, no "sorry for the delay" openers, and a visible reputation as the person who always responds. That reputation, quietly, is a career asset AI cannot replace — it can only help you build it.
